About the Role


We’re hiring a Wellness Coordinator/Assistant to join our high-performing team. This person will be the front-line face of our practice-playing a key role in patient scheduling, communication, onboarding, and event planning. You’ll work closely with both patients and other team members to ensure everything runs smoothly, from start to finish.


Key Responsibilities


  • Manage scheduling for patients and providers
  • Handle patient communications via phone, email, and Zoom
  • Interview new patient leads to assess fit for our programs
  • Track patient statistics and update records
  • Manage supply and supplement orders
  • Triage and prioritize incoming communication
  • Coordinate events and collaborate with marketing and business coaching teams
  • Participate in team training and development
  • Provide general administrative support to Clinical Providers and the Clinic Director


Qualifications


  • Exceptionally organized, detail-oriented, and proactive
  • Strong written and verbal communication skills
  • Able to multitask and stay calm under pressure
  • Tech-savvy (Google Workspace, Zoom, Calendly, etc.)
  • Self-starter who thrives in a fast-paced environment
  • Personally committed to health and wellness
  • Teachable, coachable, and eager to grow professionally


Preferred Experience


  • Cerbo or other Electronic Health Record (EHR) platforms (preferred, not required)
  • Microsoft Office: Word, Excel, PowerPoint
  • Previous experience in healthcare, wellness, or administrative roles
  • Customer service background is a strong plus
