Staffing Coordinator to join our leadership team. This position plays a critical role in ensuring adequate and appropriate nurse staffing based on census, budget, and resident needs. Job Summary:


The Staffing Coordinator is responsible for managing the scheduling and staffing functions for the nursing department.

The core focus of this role is to ensure that we are fully staffed on a daily basis-this means actively finding coverage for call-offs, adjusting the schedule as needed, and confirming that adequate staff are present and working on the floor each shift.


You’ll work closely with the Director of Nursing Services (DNS) and Human Resources to build and maintain an effective and efficient staffing plan that supports quality resident care.


Key Responsibilities:Daily Staffing & Coverage:


  • Monitor daily staffing levels and respond to real-time call-offs or no-shows
  • Proactively find shift coverage and adjust staffing as needed to meet resident care needs
  • Maintain a calm, solutions-focused approach in managing last-minute schedule changes


Administrative Functions:


  • Maintain updated staff phone lists and department manager contact information
  • Track and report employee tardiness and absenteeism
  • Assist with employee paperwork related to hiring, scheduling, and classification
  • Prepare and post monthly nursing schedules and coordinate schedule changes with DNS
  • Respond to staff inquiries about schedules, time-off requests, and timecards
  • Ensure new nursing staff receive timecards and schedules prior to orientation
  • Answer applicant calls and coordinate interviews


Personnel & Communication:


  • Support CNA interviews as needed
  • Verify certifications and licenses for new and existing nursing staff
  • Maintain confidential employee records and documentation for performance reviews
  • Foster strong, respectful working relationships across departments


Staff Development & Training:


  • Coordinate orientation schedules and assign preceptors/trainers
  • Maintain accurate records of in-service training and orientation completion
  • Communicate orientation schedules to unit managers and staff


Safety & Compliance:


  • Report unsafe conditions and follow all safety procedures
  • Protect resident and employee confidentiality
  • Comply with HIPAA and internal system security protocols


Qualifications:


  • Prior experience in healthcare staffing or scheduling strongly preferred
  • Ability to remain calm and resourceful in high-pressure, fast-paced settings
  • Excellent communication and organization skills
  • Proficiency with scheduling software and Microsoft Office
  • Familiarity with CNA/RN certification requirements a plus
  • A collaborative, team-oriented attitude
