The College of Arts & Letters is seeking a

Senior Administrative Coordinator to support both the Associate Dean for Undergraduate Studies and the Director of Core Curriculum Implementation. This dual-role position offers a unique opportunity to contribute to the daily operations, strategic planning, and academic success of undergraduate students across the College.


In this role, the Senior Administrative Coordinator will collaborate with departments, faculty, and campus partners to manage complex administrative processes, support course and curriculum implementation, oversee grant programs, and lead projects that enhance the student experience. This position requires a proactive, detail-oriented individual with exceptional communication skills, a high level of discretion, and the ability to manage competing priorities.


Essential Duties and Responsibilities


Undergraduate Academic Coordination


  • Provide strategic and administrative support to the Associate Dean for Undergraduate Studies.
  • Approve departmental course schedules and facilitate academic committee operations.
  • Draft communications, coordinate meetings, and manage travel and reimbursements.
  • Serve as a liaison to 25+ undergraduate coordinators across the College; lead onboarding, mentorship, and process improvement initiatives.


Core Curriculum Implementation


  • Assist the Director of Core Curriculum Implementation with the administration of College and University Seminar courses (CSEM and USEM).
  • Coordinate course offerings, faculty assignments, and student enrollment needs.
  • Serve as the primary point of contact for departments, faculty, advisors, and student support services.
  • Support non-regular faculty hiring processes and manage program communications and events.


Data & Reporting


  • Compile, analyze, and present data to support teaching quotas, assessment cycles, and enrollment trends.
  • Track student academic progress and produce regular reports for strategic decision-making.
  • Maintain and document standard operating procedures for cross-functional administrative and academic processes.


Project & Program Management


  • Lead or support special initiatives such as accessibility planning, advisor training, and standardization efforts.
  • Oversee Teaching Beyond the Classroom (TBC), Table Talk, and Faculty/Graduate Student Lunch programs-processing over 200 grants annually.
  • Plan and execute large-scale events such as the College's Undergraduate Diploma Ceremony and mentorship programming.


Qualifications


Required


  • 3-4 years of related experience
  • Strong organizational and interpersonal skills with the ability to manage multiple projects simultaneously.
  • High level of independent judgment, discretion, and initiative.
  • Willingness to learn and take on a broad range of responsibilities in a dynamic academic environment.
  • Proven ability to gather, interpret, and synthesize fragmented data from diverse sources.
  • Exceptional project and organizational management skills.
  • Integrity and professionalism in handling sensitive and confidential information.
  • High degree of comfort and competency with technology; ability to quickly learn new University systems and tools.
  • Ability to operate effectively and efficiently within University guidelines, policies, and best practices.


Preferred:


  • Experience in higher education or a university setting.
  • Familiarity with university systems or academic departments.
