About the Role


We are seeking a highly organized, proactive, and service-oriented

Senior Administrative Assistant to support the Dean's Office and provide critical administrative and logistical support for academic leadership. This is a dynamic role that requires discretion, a collaborative spirit, and the ability to manage multiple priorities with efficiency and professionalism.


Key Responsibilities


Administrative Support to the Dean


  • Manage the Dean�s complex calendar, travel arrangements, itineraries, and expense reports
  • Draft professional correspondence, meeting minutes, and internal documents
  • Serve as the first point of contact for the Dean�s Office-fielding calls and managing communications


Administrative Support to the Academic Affairs & Administration Program Director


  • Support the AA+A Program Director with faculty hiring, tenure, and reappointment processes
  • Coordinate candidate travel, lodging, and interview schedules
  • Upload faculty job postings and supporting documentation to Interfolio
  • Organize and maintain agendas for faculty search committee meetings


Event Planning & Coordination


  • Collaborate with Architecture staff on key School events
  • Reserve venues, arrange catering and A/V support, and coordinate travel for special guests of the Dean
  • Compile and track RSVP lists and develop detailed itineraries in collaboration with the Dean


School Support & Collaboration


  • Work closely with School staff and leadership to align priorities and provide seamless support
  • Serve as a reliable and informed resource for faculty, students, and external partners


Qualifications Education: Bachelor’s degree preferred


Experience: 5-7 years of progressively responsible administrative experience


Skills & Competencies:


  • Professional, welcoming, and composed demeanor
  • Strong written communication and proofreading skills
  • Highly proficient in Google Workspace; knowledge of Word, Excel, PowerPoint, and Adobe Acrobat is a plus
  • Strong multitasking and time management abilities
  • Detail-oriented with a high degree of accuracy
  • Team player with a collaborative mindset and a willingness to help
  • Committed to the mission of the School of Architecture and the University of Notre Dame

Hiring Pay Range: $22.00 - $28.00 | Commensurate with Experience
