JOB SUMMARY:


Performs general secretarial and clerical office tasks in a school. This experienced level


of clerical work involves responsibility for performing varied and moderately complex


tasks including preparing and processing forms, records, correspondence, memoranda,


documents, and reports relating to school activities. Work involves frequent and


responsible contacts with students, parents, the general public and the school's


administrative and instructional staff. In addition, work may include supportive


assignments in other administrative and program activities such as guidance and library.


Work is performed under general supervision and employees are expected to exercise


initiative and judgment in the timely execution of assignments. Bilingual and biliterate in


targeted language may be required depending on assignment.


Under the supervision of the Principal, the Secretary performs a full range of secretarial


work and office support duties. Assignment of this job class shall be in accordance with


the Living Classrooms Foundation allocation plan for secretarial positions.


ESSENTIAL DUTIES/RESPONSIBILITIES:


Exercises sound judgement, tact and courtesy in screening visitors and


telephone calls for superiors; provides information or answers to inquiries not


requiring superior's attention or refers callers to appropriate sources on their own


initiative.


Maintains personal and confidential files and oversees maintenance of other


important or sensitive record systems.


Manages student attendance daily. Including running reports on status of


attendance and communicating with staff on who is present and absent.


Communicates with families regarding student attendance with phone calls, text


messages, emails, class dojo, or any other form of communication needed.


Receives training in or operates personal computers and/or work processors.


Performs a variety of general office support duties necessary for efficient office


operation.


Performs and promotes all activities in compliance with equal employment and


nondiscrimination policies; follows federal laws, state laws, school board's


policies and the professional standards.


Answers and screens telephone requests and complaints from parents, students,


and Central offices.


Enrolls new students. Keeps student records/files up-to-date. Withdraws student


records and forwards the same to new schools.


Prepares and maintains up-to-date office records of all students on class lists,


student folders, card files, index cards, and attendance record/reports.


Receives and gives messages to teachers and principals. Makes telephone calls


for teachers and principals at their request. Receives and screens visitors and


telephone calls.


Calls parents of injured or ill students. Assists in maintaining and updating for


distribution the confidential medical lists.


Maintains strict confidentiality with respect to handling student record/personal


data.


Signs students in and out of school. Issues tardy passes and keeps


absentee/tardy records.


Performs other related duties as assigned by the principal within the same


classification or lower.

Education:
