Purpose: The Certified Medical Assistant - Float & Referral Coordinator is a dual-role position that supports both the clinical and administrative functions of patient care at North Texas Preferred Health Partners (NTPHP). This role serves as a clinical back-up for medical assistants while also managing patient referrals and coordination of care. The position reports to the assigned location leader and plays a key role in ensuring high-quality, efficient, and compassionate care for our patients.


Duties and Responsibilities:


Clinical Support (Float Medical Assistant):


· Provide coverage for clinical team members and assist staff across various locations as needed.


· Room patients and document vital signs (BP, pulse, weight, height, temperature, oxygen saturation).


· Record and update patient history, allergies, and medications in the EMR.


· Assist physicians with physical exams and procedures.


· Perform in-house procedures and testing (EKG, spirometry, urinalysis, A1C, flu/strep/mono tests, etc.).


· Administer and document medications and vaccines; pull and manage sample inventory.


· Coordinate lab draws and referrals to outside labs.


· Maintain clean and fully stocked exam rooms, common areas, and clinical equipment.


· Provide patient education and ensure confidentiality of all medical and financial information.


· Phone and fax prescriptions and refills in a timely and accurate manner.


· Serve as OSHA Officer when assigned, maintain OSHA binder and training documentation.


· Train and support new clinical staff, as needed.


· Participate in coverage for on-call responsibilities when available.


Referral Coordination:


  • Coordinate care outside NTPHP including prior authorizations, referrals, DME, imaging, physical therapy, home health, hospice, and specialist appointments.
  • Fax and manage outgoing/incoming medical records; scan and import into patient charts.
  • Complete and submit various forms (FMLA, disability, handicap placard, advance directives, pre-op, etc.).
  • Retrieve external reports from hospitals and specialist offices; mail reports to patients as needed.
  • Document charges for nurse-only visits in the EMR.
  • Monitor and sort all physician faxes and documentation.
  • Maintain up-to-date and organized electronic patient records in the EMR system.


Experience and Qualifications Required:


· Certified Medical Assistant (Required)


· Phlebotomy a plus (Not Required)


· Minimum of 2 years of experience in a physician office or clinic; 3+ years preferred.


· High school diploma or equivalent (Required)


· Experience with EMR systems; eClinicalWorks preferred.


· Proficient in computer use, typing, and basic software.


· Familiarity with HIPAA regulations and handling confidential information.


· Strong communication and patient service skills.


· Ability to adapt to a fast-paced, multi-tasking environment.


Physical Demands:


Coordination, manual, and physical dexterity sufficient to properly and adequately use various items of medical equipment and office equipment as required of the position or directed by the Clinical Manager. The position may involve sitting, standing, bending, and stooping.
