Job Summary:


The Receptionist/Patient Coordinator serves as the first point of contact for patients and visitors. This role involves managing phone calls, scheduling appointments, coordinating patient care, and ensuring smooth front office operations. The ideal candidate will possess excellent communication skills, a friendly demeanor, and a strong commitment to patient satisfaction.


Key Responsibilities:


  • Greet and check-in patients in a friendly and professional manner, ensuring a positive first impression.
  • Manage multi-line phone systems to answer and direct calls, provide information, and take messages as necessary.
  • Schedule, reschedule, and confirm patient appointments, ensuring proper coordination and minimal wait times.
  • Collect and verify patient information, including insurance details, medical history, and forms, ensuring accuracy and compliance with regulations.
  • Assist patients with inquiries regarding their appointments, billing, and other administrative matters.
  • Collaborate with healthcare providers to coordinate patient care and follow-up as needed.
  • Maintain front office and reception area to ensure a clean, organized, and welcoming environment.
  • Process patient payments, manage billing inquiries, and assist in insurance verification and authorizations.
  • Utilize electronic health record (EHR) systems efficiently to manage patient data and appointments.
  • Handle administrative tasks such as filing, data entry, and ordering office supplies as necessary.
  • Uphold confidentiality and privacy policies to protect patient information.


Qualifications:


  • High school diploma or equivalent; additional education in healthcare administration or related fields is a plus.
  • Previous experience in a reception or customer service role, preferably in a healthcare setting.
  • Strong organizational skills with the ability to multitask and prioritize effectively.
  • Excellent interpersonal and communication skills, both verbal and written.
  • Proficiency in using computers and common office software (e.g., MS Office, EHR systems, etc.).
  • A compassionate and patient-centered attitude, with a strong commitment to serving diverse populations.
  • Familiarity with medical terminology and insurance processes is an advantage.
  • Ability to work flexible hours, including evenings and weekends if required.
