The Program Coordinator is responsible for coordinating KSP's statewide Purchasing Program and reports directly to the KSP Supply Branch manager. This position is responsible for establishing master agreements and purchasing of all necessary items utilized statewide by KSP. Processes all documents, invoices, and maintains proper records of all such purchases.


Responsibilities include but are not limited to the following:

  • Coordinates all inter- or intra-unit administrative functions of a specific program(s) on a statewide basis;
  • Prepares, reviews, processes and recommends approval of contracts, grants and other program implementation.
  • Coordinates all statewide agency purchases whether grant or general funding. Solicits, researches, and obtains price quotes from vendors in order to ensure competitive pricing. Initiates purchase request memorandums for approval.
  • Coordinates al statewide agency contacts through the establishment of master agreements. Researches and obtains product specifications needed for master agreements. Submits master agreements in order for contracts to be established.
  • Reconciles all KSP Supply purchases through VISA/eMARS documents. Initiates all receiver documents (RC) in eMARS for validation of purchases over $1,000.00.
  • Assists both the Fleet Service Manager and Supply Branch Manager for the KSP Auto Auctions and Confiscated Weapons Auctions.
  • Other duties as assigned.

Minimum Requirements

EDUCATION: Graduate of a college or university with a bachelor's degree.


EXPERIENCE, TRAINING, OR SKILLS: Three years of professional experience in management or administration.


Substitute EDUCATION for EXPERIENCE: A master's degree will substitute for one year of the required experience.


Substitute EXPERIENCE for EDUCATION: Administrative or business experience will substitute for the required education on a year-for-year basis.

Working Conditions

Incumbents working in this job title primarily perform duties in an office setting. Minimal travel may be required.

Probationary Period

This job has an initial and promotional probationary period of 6 months, except as provided in KRS 18A.111.
