Job Title: Patient Coordinator


Hours: 0800-1700

POSITION SUMMARY:


Under the supervision of the Office Manager, the Patient Coordinator works alongside other office staff in both administrative & patient duties including (but not limited to): coordinating the patient schedule, schedule and prepare staff meetings, preparing and recording patient paperwork, sending dental referrals and prescription medication to pharmacies, assisting the bookkeeper as needed, ordering office supplies, and scheduling equipment and building maintenance. The Patient Services Coordinator will be an exemplary leader, exceptional organizer, and excel at being a multi-tasker.


WORKING CONDITIONS/PHYSICAL REQUIREMENTS:


  • Sitting for long periods
  • Tolerating moderate noise levels from dental & other office equipment
  • Being comfortable in a dental office setting.
  • Maintaining professionalism in stressful situations.
  • Frequent client and interoffice personnel interaction, dependent heavily on customer service.
  • Able to lift at least 35lbs to handle office supplies.


ESSENTIAL FUNCTIONS:


  • Providing superior patient service demonstrating responsiveness and sensitivity to patient needs with urgency to resolve any patient dissatisfaction in accordance with patient needs, company policies and procedures, government regulations and dental board standards.
  • Effectively and efficiently overseeing the front office.
  • Managing patient data including chart documents, personal information, treatment consultation documentation, and account history transactions.
  • Discuss dental treatment plans with patients.
  • Record, deposit and report daily bank deposits.
  • Manages daily schedule maintains the schedule for doctors and hygienist at its most optimal manner to increase production and efficiencies.
  • Confirming insurance eligibility.
  • Submitting insurance claims.
  • Enter payments received.
  • Research denied claims
  • Submit Pre-authorizations
  • Computer skills, including Microsoft Office.
  • Assist Office Manager on various projects and reports.
  • Maximize patient experiences.
  • Maintain presentable office setting for patients and employees.
  • Properly open and close front office.
  • Ensures flawless execution of operational standards, including compliance with company policies, procedures, and government regulations.
  • Maintains facility, reports and/or corrects hazards when necessary, in compliance with all state and federal regulations, including HIPAA and OSHA.
  • Perform housekeeping around the office including sweeping, mopping, vacuuming,disinfecting, and assisting with clean laundry.
  • Accept other duties and tasks as assigned periodically.
  • Train to be full back up to other office staff.

EXPERIENCE & EDUCATION:


  • High School Diploma or GED.
  • Supervisory/management experience preferred.
  • 1+ year of dental or medical practice experience preferred.

Compensation Disclosure in Accordance with Vermont Act 155


In compliance with Vermont Act 155, Windham County Dental Center provides the compensation range for this position in good faith. The listed range represents the pay scale reasonably expected for a successful candidate based on factors such as relevant experience, education, internal equity, and market competitiveness. Final compensation will be determined during the hiring process.
