We are seeking an Office Administrator to join our team! You will perform clerical and administrative functions for the CVLA Board of Directors, as well as homeowners in the association. Work involves operating within well defined procedures and instructions, while attending to CVLA homeowners inquires both on the phone and face to face. Specific duties and responsibilities may vary based upon community needs. Accountable to the Board of Directors with direct reporting to the Board President.


Responsibilities:


  • General administrative and clerical support
  • Maintain high level of Confidentiality
  • Answer telephone, screen and direct calls
  • Take and relay messages for the Board of Directors
  • Provide information to homeowners regarding their concerns
  • Maintain QuickBooks program, and prepare reports as required
  • Collect and Record Maintenance fees
  • Post and create bank deposits
  • Prepare Excel reports
  • Prepare receipts for all payments when requested by the homeowner
  • Keep accurate records of name, addresses, and phone numbers for all residents
  • Collect monies for copies and faxes
  • Collect and direct home owner complaints to the appropriate area
  • Balance petty cash
  • Prepare letters and documents as required
  • Receive, sort and deliver mail
  • Establish files for new homeowners
  • Register and maintain records of "renters"
  • Interface with title companies and closing attorneys as necessary
  • Prepare, disburse, and file government reports
  • Maintain company records books
  • Prepare work orders and purchase orders for all Directors
  • Prepare all office correspondence for posting/mail
  • Prepare tickets and posters for CVLA activities and functions
  • Maintain an organized reception area and office
  • Assist with election process/set up, master files, signature books
  • Greet visitors and answer questions
  • Present a positive, encouraging, understanding, and welcoming attitude to all Visitors, Residents, and Board of Directors


Qualifications:


  • High school graduate or higher
  • Previous experience in office administration or other related fields
  • QuickBooks experience required
  • Ability to prioritize and multitask
  • Excellent written and verbal communication skills
  • Strong attention to detail
  • ​Strong organizational skills


Job Type: Part-time


Pay: $18.00 - $20.00 per hour


Expected hours: 25 per week
