We are seeking a dedicated and enthusiastic Office Manager to join our team. The Office Manager is a cornerstone position in our clinic, ensuring that our office operates smoothly and efficiently. This role is integral to creating a warm and inviting atmosphere for our patients and staff and facilitating the exceptional service our clinic is known for. Successful candidates will possess excellent communication skills, a proactive attitude, and a deep commitment to our core values.
+ Conduct welcome calls and confirm appointments to enhance patient satisfaction.
+ Oversee the reception area to ensure efficient operations and a pleasant arrival experience for patients.
+ Manage consultation conversations and ensure patient agreements and documentation are up-to-date.
+ Direct and supervise office staff, fostering a positive work environment aligned with our core values.
+ Manage efficient opening and closing procedures.
+ Manage labor budgets and approve overtime as necessary in coordination with the Regional Practice Manager.
+ Conduct regular team meetings and coaching sessions to reinforce office culture and address performance issues.
+ Strive to foster and contribute positively to a patient-first, team-based culture.
+ Implement and train staff on new office policies and procedures.
+ Ensure the office complies with all healthcare laws and regulations.
+ Provide high-level administrative assistance to providers, reflecting a detailed and organized approach.
+ Maintain and audit the patient schedule to ensure optimal flow and minimize gaps; proactively fill cancellations to maintain efficiency.
+ Prepare team schedules two weeks in advance, ensuring they align with budget considerations.
+ Lead daily morning huddles to discuss the previous day's outcomes, wait times, opportunities for improvement, and patient-related issues.
+ Conduct inventory reconciliation and ordering based on forecasted needs to ensure necessary supplies are always available.
+ Manage and audit patient scheduling practices to avoid overbooking and ensure adherence to planned schedules.
