About the role


  • This is an On-site position based on the island of O‘ahu. The work schedule is 8:00 AM to 5:00 PM.
  • The Office Assistant plays a vital role in maintaining a clean, organized, and efficient office environment.
  • This position is responsible for overseeing daily office operations, including the upkeep of shared spaces, coordination of vendor services, support with administrative tasks, and inventory management.
  • The Office Assistant ensures the workplace runs smoothly and provides a welcoming environment for employees, guests, and partners.


What you'll do


  • Manage office facilities, including service requests and property management coordination.
  • Greet and assist visitors; direct them to appropriate personnel and provide office tours as needed.
  • Ensure cleanliness and organization of all communal areas including the conference room, kitchen, and shared spaces.
  • Schedule and coordinate cleaning services for the office and company-managed apartments.
  • Maintain kitchen supplies and organize kitchen inventory.
  • Prepare signage and welcome materials for guest visits and employee events.
  • Assist the executive management team with various requests, such as ordering catering, setting up the office for events, meetings, making reservations, planning company events, and aiding in project proposal preparations.
  • Provide support for the annual holiday dinner, Christmas, Pau Hana, Halloween, Annual Picnic, Kick off events, and others as required.


Qualifications


  • Detail oriented and organized.
  • Effective team player with the ability to work independently and take initiative
  • Self-motivated and possess excellent communication skills.
  • Strong organizational and time management skills.
  • Computer proficiency (Microsoft Office, Adobe, and quick to learn new applications and processes).

Final pay, influenced by factors such as experience, skills, education, licenses/certifications, and/or geographic location, underscores our dedication to pay equity.
