At Kömmerling USA, we are a leading manufacturer of high-quality PVC sheets and frames. We are currently seeking a reliable and detail-oriented Office Administrator to join our team in Huntsville, AL.


About the Role


As an Office Administrator, you will play a vital role in ensuring the smooth operation of our office and supporting daily administrative processes. You will act as the first point of contact for visitors and callers, while also providing essential backup support to the Inside Sales team. Your strong organizational skills and communication abilities will help maintain efficiency across departments and uphold our high standards of customer service.


Key Responsibilities


  • Greet and assist visitors in a professional and welcoming manner.
  • Answer and direct phone calls, manage incoming mail and emails.
  • Maintain office organization, filing systems, and general administrative support.
  • Provide backup support to the Inside Sales team, including order entry and customer service.
  • Respond promptly and professionally to customer inquiries and requests.
  • Assist with product availability, order status, and shipping updates.
  • Coordinate and fulfill product sample requests, manage shipping logistics, and maintain sample room organization and inventory.
  • Book freight shipments, prepare BOL (Bill of Lading), and update SAP with tracking information.


Qualifications


  • High school diploma or equivalent required.
  • Strong attention to detail and organizational skills.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Proficiency in Microsoft Office Suite (Outlook, Excel, Word).
  • Must be able to lift up to 25 lbs occasionally (e.g., for sample packaging).
  • Office-based role with occasional duties in the warehouse or sample room.
