Job Summary

We are seeking a dedicated and compassionate Mental Health Office Manger to join our team. The Medical Office Manager is responsible for managing the daily operations of a behavioral health office, including staff supervision, patient scheduling, billing, medical records, compliance with healthcare laws, and maintaining a high level of patient service. This position requires strong communication and organizational skills, along with the ability to work collaboratively within a multidisciplinary team.


Duties


1.

Administrative Oversight


  • Manage office workflow and ensure daily operations run smoothly.


2.

Staff Management


  • Hire, train, and supervise administrative and support staff.
  • Assign duties and set performance standards.
  • Conduct staff evaluations and manage schedules.


3.

Patient Services


  • Ensure a positive patient experience.
  • Handle patient complaints or concerns professionally.
  • Oversee appointment scheduling and follow-ups.


4.

Billing & Insurance


  • Supervise billing and coding processes.
  • Ensure accurate processing of insurance claims and patient billing.
  • Monitor accounts receivable and collections.


5.

Regulatory Compliance


  • Ensure the office complies with HIPAA, OSHA, and other healthcare regulations.
  • Maintain confidentiality of patient records.
  • Coordinate audits and inspections.


6.

Medical Records Management


  • Oversee maintenance and security of electronic health records (EHR).
  • Ensure timely and accurate documentation.


7.

Budgeting & Financial Oversight


  • Monitor office budget and expenditures.
  • Approve purchases and manage inventory.
  • Generate financial reports as needed.


8.

Technology & Equipment


  • Maintain office technology (EHR systems, phones, computers, etc.).
  • Coordinate IT support and system upgrades.
  • Organize schedules, meetings, and appointments for physicians and staff.
  • Oversee front-desk operations and patient intake processes.


Skills


  • Strong organizational skills to manage schedules, appointments, and documentation effectively.
  • Excellent communication skills for interacting with patients, families, and healthcare teams.
  • Experience in event planning to organize therapeutic activities or workshops.
  • Supervising experience to guide junior staff or interns as needed.
  • Proficiency in QuickBooks for managing budgets or financial records is a plus.
  • Knowledge of human resources processes including payroll management and employee training & development.
  • Familiarity with bookkeeping practices to maintain accurate financial records.
  • Administrative experience in medical office management or similar environments is preferred.
  • Competence in clerical tasks such as filing, calendar management, and front desk operations.
  • Ability to handle multi-line phone systems professionally while maintaining phone etiquette.

Job Types: Full-time, Contract, Temporary


Pay: $25.41 - $30.60 per hour


Expected hours: 35 - 40 per week
