As an HR Services Associate, you will be at the forefront of the dynamic process of stabilizing, modernizing and then transforming our HR service delivery model. Reports to the Manager, HR Shared Services. Responsible for the onboarding process for all contracted travel assignments within the health system and has a vital role in ensuring the accurate completion of talent acquisition and new hire onboarding. Maintains and updates the HR Management System (HRMS) and plays an integral part in HR technology¿implementations. Acts as the primary point of contact for internal and external HR customers.

Performs a variety of Human Resource coordinating functions by:


  • Serving as point of contact for the HR Department by receiving and responding to general inquiries and concerns; working to find answers and solutions in a timely manner.
  • Providing employment/pay verification forms and letters for new hires; directing verifiers and current or past associates to the appropriate vendor.
  • Compiling complete and accurate records in compliance with subpoenas, interrogatories and requests for associate files.
  • Creating and distributing ID badges for newly hired associates, associates experiencing a change in job title, replacements for damaged badges, and temporary agency associates.
  • Performing various audits on a timely basis as requested by HR.
  • Completing monthly Medicaid/Medicare reports and audits in partnership with Risk Management to comply with local, state, and federal regulations.¿
  • Maintaining and submitting bi-monthly new hire reports to the IN state directory in accordance with state statute.
  • Ordering supplies as requested by HR associates and as required to successfully maintain the department's day-to-day operations of the Human Resources department.
  • Collaborating with HRIS and Payroll to complete a bi-weekly transference of associates� accrued PTO between Beacon entities and from Union to non-Union positions.
  • Completing Public Service Loan Forgiveness forms and FSSA documents upon associate request.


Performs integral functions of the talent acquisition process by:


  • Collaborating with agencies and hiring managers to assure contracted traveler compliance with Beacon Health onboarding requirements, as well as state and federal regulations, and approving requests for traveler contract extensions.
  • Teaming with HRIS to assign and track traveler CBL modules.
  • Verifying the correct completion of all new hire onboarding documents across health system; contacting, reassigning, and resolving new hires unable to complete onboarding documents.
  • Partnering with Payroll to verify the accurate entry of new hire direct deposit information to the associates� records.
  • Assigning leadership assessments to potential physicians and other associates upon request; scoring and sharing results with the appropriate Talent Acquisition Partner.
  • Responsible for the I-9 form process and maintaining administrative E-Verify access to partner with Employee Health and accurately verify new hire status in compliance with state and federal statute and in accordance with Joint Commission standards.


Updates the Human Resource database accurately and on a timely basis by:


  • Manually entering contracted travelers to the associate database as well as NORs for cancelled contracts.
  • Maintaining and organizing associate files and required documentation in compliance with Joint Commission standards.
  • Tracking and following up on computer-related issues for Talent Acquisition Team and Associate Relations.
  • Entering accurate licensure information into the associate database.
  • Assisting HRIS with implementations, upgrades, interfaces and information updates as the functional resource for the HR department.
  • Coordinating with HRIS to maintain data integrity and convey issues to the Manager, HR Share Services.
  • Participating in the testing of new processes, reports, etc.; providing testing results to the appropriate specialist and assisting in determining appropriate processes.
  • Responsible for processing associate status changes, internal and company transfers, addition and termination of dual records, and occasional manual new hire entry in the HR Management System (HRMS) at the request of the HR department.


Performs other functions to maintain personal competence and contribute to the overall effectiveness of the department by:


  • Displaying a positive team approach to all Human Resource efforts by offering to assist other HR associates and maintaining working relationships with other departments.
  • Participating in departmental project work focused on delivering efficiencies and innovations to drive the Human Resource operation function forward.
  • Responsible for maintaining knowledge of current regulations and state-required compliance through completion of continuing education and self-study.
  • Recommending improvements in workflow, procedures, equipment and forms.
  • Providing input and/or feedback to Manager, HR Shared Services regarding concerns and issues in a timely manner.
  • Participating on Hospital and System committees as requested.

  • Completes mandatory education, annual competencies and department specific education within established timeframes.

  • Direct patient care providers are required to maintain current BCLS (CPR) and other certifications as required by position/department.
  • Consistently utilizes appropriate universal precautions, protective equipment, and ergonomic techniques to protect patient and self.
  • Adheres to regulatory agency requirements, survey process and compliance.
  • Complies with established organization and department policies.¿
  • Available to work overtime in addition to working additional or other shifts and schedules when required.

Education and Experience


The knowledge, skills and abilities indicated below are normally acquired through the successful completion of a high school diploma or equivalent. A minimum of two years of administrative experience is preferred. An Associate’s Degree in Business, Human Resources, or a related field or previous Human Resources experience is preferred.
