Job Summary:


Home Therapy Solutions is seeking a highly organized and proactive

Practice Operations & Billing Coordinator to keep our therapy practice running efficiently and compassionately. This essential team member will oversee administrative operations, financial workflows, and staff coordination, while also supporting billing and client communications.


This person works closely with our owner, therapy manager, billing team, and virtual assistant(s) to ensure seamless operations, timely collections, and a positive experience for clients and staff alike.


Key Responsibilities:Administrative & Team Coordination:


  • Lead and support daily operations across the team.
  • Onboard new staff, maintain HR files, and track key compliance documents.
  • Manage internal communications, recognition gifts (birthdays, work anniversaries), and morale-building efforts.
  • Direct and support virtual assistant(s) to maintain operational flow by creating optimal workflow and efficiencies in communications and reporting.
  • Manage incoming referrals to ensure a seamless onboarding process for each client and therapists being assigned.
  • Comfortable working with EMR systems and CRM software.
  • Ability to work autonomously and lead administrative meetings.
  • Communicate effectively and timely with other businesses, hospitals, transitional care teams, patients and/or caregivers.


Billing & Financial Oversight:


  • Collaborate with our billing partner to ensure claims are submitted and followed up appropriately. Working through insurance denials and rejections, etc. Have knowledge in medical billing.
  • Monitor patient collections and payment plans; follow up with clients to resolve outstanding balances.
  • Communicate with patients about their invoices, answer billing questions, and resolve concerns with professionalism and care.
  • Track metrics related to revenue cycle and collections and provide updates to leadership.


Compliance & Documentation:


  • Ensure accurate and complete documentation for licensing, certifications, and regulatory compliance.
  • Credentialing therapists with different insurance companies upon hire and completing re-credentialing forms for insurances to ensure compliance.
  • Keep required tracking systems and databases up to date.


Qualifications:


  • Strong organizational and communication skills.
  • Prior experience in healthcare administration or medical billing preferred.
  • Comfortable working with clients regarding billing or financial questions.
  • Knowledge of therapy/medical billing and compliance (preferred).
  • Ability to manage multiple responsibilities and prioritize efficiently.
  • Tech-savvy and confident using many different digital systems and platforms daily.
  • Health management or related degree (preferred)


Required:


  • Health care experience
  • General understanding of healthcare billing/claims/insurance
  • Comfortable speaking with patients about billing/invoices
  • Experience working with multiple platforms/systems

Job Types: Full-time, Part-time


Pay: $25.00 - $35.00 per hour
