We are seeking a dedicated and professional Front Desk Receptionist to join our team. The ideal candidate will be the first point of contact for our clients and visitors, providing exceptional customer service and administrative support. This role requires strong organizational skills, attention to detail, and the ability to manage multiple tasks efficiently. The Front Desk Receptionist will play a crucial role in maintaining a welcoming environment while ensuring smooth office operations.


Key Responsibilities:


Front Desk & Visitor Management:


  • Greet homeowners, guests, and vendors in a courteous and professional manner
  • Answer and direct incoming phone calls; take accurate messages when needed
  • Respond to general inquiries about HOA policies, procedures, and services
  • Sign-out/Sign-in keys to contractors


Administrative Support:


  • Sort and distribute mail, packages, and notices to residents and staff
  • Maintain and update homeowner contact records, directories, and files
  • Assist in preparing newsletters, announcements, and mailings
  • Support management with scheduling, document preparation, and data entry


Resident Services:


  • Receive facility reservations, gate access forms
  • Issue of parking permits
  • Receive and log maintenance requests or rule violations and route to appropriate staff as needed
  • Provide forms, applications, and general assistance to homeowners


Office Management:


  • Maintain a clean and organized reception area
  • Monitor and restock office supplies
  • Coordinate with vendors for office repairs and/or deliveries


Qualifications:


  • High school diploma or equivalent; associate�s degree preferred
  • 2+ years of receptionist or administrative experience (HOA, property management, or real estate experience a plus)
  • Excellent communication and interpersonal skills
  • Strong multitasking and time-management abilities
  • Proficient with Microsoft Office Suite and basic office equipment
  • Ability to maintain confidentiality and professionalism at all times
  • Ability to multi-task several projects, assignments


Preferred Experience:


  • Familiarity with community associations
  • Knowledge of management software (e.g. CINC)


Compensation:


  • Competitive hourly rate (based on experience)


Job Type: Full-time


Pay: $13.00 - $15.00 per hour


Expected hours: 40 per week
