Classification Summary

This class is the first level in the Enrollment Services series. Incumbents perform information processing for student admissions/enrollment. Responsibilities may include admitting and processing applications for general admission; receiving, organizing, and recording student information; and responding to general questions about enrollment.


This position supports our Jefferson College Arnold campus.


Minimum Education and/or Training and Experience

High School Diploma or equivalent (G.E.D.) and one year of related experience.

Essential Job Function

These are the job duties that are required of the position.

Classification Duties
  • Direct prospective students in the admissions process, which includes completing an online admissions application and submitting the proper documentation. Pull applications into appropriate software systems. Collect and record student information to complete the student�s record, and upload all appropriate documents, performing outreach when necessary. (B2)


  • Verify student status, and ensure all requirements are in place to meet with advisors and enroll in classes. Assign appropriate advising specialists and faculty advisors specific to the major. Direct students in the academic probation and suspension processes by collecting and submitting suspension appeal forms. (B2)


  • Work through the National Student Clearinghouse to process transcript requests, resolve issues related to the prevention of transcript release, and provide education verification. (B2)


  • Provide registration assistance to students and advisors. This includes adding, dropping, and withdrawing students ensuring course prerequisites are met and registration is within appropriate time frames. (B2)


  • Perform general administrative support duties such as answering e-mails, phone calls, filing, and scanning. (A1)


  • Take ID pictures, print student IDs, and maintain the parking pass system. (A1)


  • Verify, update, and maintain student records and process major and personal information changes. Maintain databases to ensure the accuracy of student records. (A1)


  • Provide front-line customer service via email, phone, and in person. Provide students and parents guidance on all aspects of the student experience which may include referrals to different departments. (A1)


  • Perform other related duties of a comparable level/type as assigned.


Position Duties
  • Assist the Office of Admissions with processing functions including high school and college transcripts, applications, and jr/sr lists.


  • Assist with the coordination of recruitment and student engagement events by scheduling logistics, preparing event materials, managing communications (including social media), and providing on-site event support under the guidance of the supervisor.


  • Enhance the campus environment by updating lobby décor to reflect seasonal events and college initiatives. Serve as the first point of contact to promote a welcoming atmosphere and support ongoing student engagement.


  • Act as point of contact for JCA faculty and staff to assist with minor IT issues, maintenance reporting, copying/printing needs, and student-related support. Ensure that concerns are communicated to appropriate departments and resolved in a timely manner.


  • Manage scheduling of classes and events, assist with academic course-building, submit procurement requests, and support faculty concerns through documentation, tracking, and follow-up. Maintain accurate records using department systems and databases.


  • Assist with JCA and programmatic administrative support with duties such as procurement, scheduling, room utilization, data analysis, recording of minutes, and other administrative functions at the direction of the campus Director or Coordinator.
