The expected ENTRY pay range for this position based on experience and equity within the Judicial Branch is $18.76 to $19.13.


This position is non-exempt under the FLSA.

About the Position

The Administrative Clerk provides entry-level administrative support within the Copy Center by providing copying, binding, and printing services for the Judicial Branch.

Position Qualifications

Education:* High School diploma or GED


Experience:* At least six (6) months of clerical and/or customer service experience.


OR

Combined education and experience qualifications:* Other combinations of education and experience may be considered in substitution for the minimum qualifications.


*Knowledge, Skills, and Abilities:

Knowledge of: Office practices, procedures, and clerical processes
  • Microsoft Office (especially Outlook), Adobe Acrobat, and basic file formats (PDF, DOCX, PPTX)
  • File preparation and troubleshooting for printing (e.g., margins, page setup, resolution, file compatibility)


Skill in:* Operating high-speed commercial printers, copiers, binders, and laminators, and various other office machines
  • Managing multiple requests simultaneously while maintaining a satisfactory work product


Ability to:* Quickly learn and safely operate high-capacity digital print and finishing equipment
  • Plan, organize, and maintain a heavy workload in a fast-paced environment
  • Evaluate job requests, plan, prioritize, and perform appropriate actions
  • Collaborate with team members and support internal departments with professionalism
  • Exercise judgment in handling and working with sensitive and/or confidential information

Essential Job Tasks

(This is not an all-inclusive list of all job duties that may be required; employees will be required to perform other related duties as assigned.)* Greets customers (all judicial branch employees and approved outside entities), answers telephones, and provides information regarding department procedures and services.
  • Retrieves print job requests via Microsoft Outlook, SharePoint, in-person, and USB drives.
  • Operates high-capacity digital copiers and finishing equipment (e.g., binders, cutters, laminators, etc.) to produce requested materials accurately and efficiently.
  • Using industrial-level office equipment, assembles, comb binds, counts, cuts, folds, faxes, scans, hole punches, laminates, sorts, and staples printed material based on requests.
  • Prints payment checks on secure check stock and operates folding/inserting machine to accurately prepare and seal checks in window envelopes for distribution.
  • Ensures all jobs meet quality standards and specifications, including quantity, layout, paper type, color, alignment, and legibility.
  • Maintains accurate documentation and sufficient inventory of paper, checks, toner, and supplies; submits restock requests as needed.
  • Monitors and maintains equipment functionality; troubleshoots minor issues and escalates for repair needs when necessary.
  • Runs statistical reports from copy request data saved in SharePoint upon request.
  • Supports business operations such as the judicial robe cleaning process and other internal service requests.


Working conditions:

Must be able to lift/move/push/pull up to 50 lbs. regularly and have the ability to walk long distances while pushing/pulling carts. While performing the duties of this job, the employee may need to communicate clearly, perceive details of objects that are close by, and maintain various physical positions for extended periods, such as sitting, standing, or walking. The job may involve using hands for tasks such as typing, handling objects, or operating tools, as well as reaching with hands and arms. Typically, successful candidates are hired at a salary rate up to the midpoint of the range, based on applicable experience, internal equity, and budgetary allowances.

The Judicial Branch of Arizona in Maricopa County participates in the State Retirement systems ASRS or PSPRS. As such, mandatory membership for all full-time employees includes payroll deducted contributions consistent with each retirement system's requirements. The current contribution rate for ASRS is 12.27% and the current contribution rate for PSPRS is 5.84% and up for the defined contribution plan and 8.82% for the defined benefit plan. Judicial Branch facilities are located throughout Maricopa County. This position may be reassigned to other locations. Assignments will be made based upon the needs of the department.
