About the Role:


The Title Assistant plays a crucial role in supporting the title department within the finance and insurance industry by ensuring accurate and timely processing of title documentation. This position is responsible for assisting with the preparation, review, and management of title reports, deeds, and related legal documents to facilitate smooth real estate transactions. The Title Assistant collaborates closely with title agents, underwriters, and clients to resolve any discrepancies or issues that may arise during the title search and clearance process. By maintaining meticulous records and adhering to regulatory requirements, the Title Assistant helps mitigate risks and ensures compliance throughout the transaction lifecycle. Ultimately, this role contributes to the successful closing of property transactions by providing essential administrative and operational support to the title team.


Minimum Qualifications:


  • High school diploma or equivalent required; Associate�s degree or higher preferred.
  • Previous experience in a title, escrow, or real estate support role is highly desirable.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and familiarity with title software systems.
  • Strong organizational skills with attention to detail and the ability to manage multiple tasks simultaneously.
  • Excellent written and verbal communication skills.


Preferred Qualifications:


  • Experience working in the finance, insurance, or real estate industry.
  • Knowledge of title insurance policies, escrow procedures, and real estate closing processes.
  • Familiarity with local and state regulations related to property titles and recording.
  • Certification or coursework related to title or escrow services.
  • Ability to use specialized title and escrow software platforms.


Responsibilities:


  • Assist in preparing and reviewing title commitments, policies, and related documents for accuracy and completeness.
  • Conduct preliminary title searches and gather necessary information from public records and databases.
  • Coordinate with title agents, lenders, real estate agents, and clients to obtain required documentation and resolve title issues.
  • Maintain organized and up-to-date files, records, and databases related to title transactions and closings.
  • Support the title team in scheduling and facilitating closings, ensuring all documentation is properly executed and recorded.
  • Communicate effectively with internal and external stakeholders to provide status updates and address inquiries.
  • Ensure compliance with company policies, industry regulations, and legal requirements throughout the title process.


Skills:


The Title Assistant utilizes strong organizational and communication skills daily to manage and track multiple title files and ensure all documentation is accurate and complete. Attention to detail is critical when reviewing title reports and legal documents to identify and resolve discrepancies that could delay transactions. Proficiency in software tools, including Microsoft Office and title-specific platforms, enables efficient data entry, document preparation, and communication with stakeholders. Problem-solving skills are applied when coordinating with various parties to address title issues and facilitate smooth closings. Additionally, knowledge of industry regulations and procedures supports compliance and risk mitigation throughout the title process.
