Summary of Duties & Responsibilities


The Sample Room Coordinator plays a key role in supporting clients and ensuring the smooth operation of our water testing services. This position is responsible for handling client inquiries, managing sample submissions, tracking laboratory requests, and facilitating the delivery of accurate water testing results. The ideal candidate has excellent communication skills, attention to detail, and a strong customer-focused mindset in a scientific or regulated environment.


Essential Duties & Responsibilities


  • Client Support: Serve as the first point of contact for water testing clients, including homeowners, municipalities, home inspectors, and environmental consultants.
  • Sample Coordination: Guide clients through the sample collection, packaging, and submission process; ensure Chain of Custody (COC) forms are complete and compliant; process, package, and send out samples to subcontract laboratories; send monthly bottle orders to clients.
  • Data Entry & Tracking: Enter and update client and sample data in the Laboratory Information Management System (LIMS); ensure accuracy of client requests and testing parameters; data entry review to ensure accuracy.
  • Report Delivery: Ensure timely distribution of Certificates of Analysis and final reports to clients via email or USPS.
  • Communication: Respond promptly to phone and email inquiries regarding sample status, test availability, pricing, and turnaround times.
  • Issue Resolution: Identify and resolve client concerns, discrepancies, or sample issues; escalate complex or technical problems to lab staff or management as needed.
  • Regulatory Awareness: Maintain familiarity with local, state (e.g. DEP), and federal (e.g. EPA) water quality testing standards and client requirements.
  • Quality & Compliance: Assist in maintaining customer service records in line with ISO 17025, NELAC, and state of Maine Standards; supports internal quality assurance by reporting customer feedback and helping implement improvements.


Work Environment


  • Office setting adjacent to a laboratory environment.
  • Exposure to laboratory samples or chemicals in sealed containers.
  • May involve extended periods at a computer.
  • Frequent communication with clients and laboratory staff.


Required Qualifications:


  • High school diploma or equivalent
  • Strong verbal and written communication skills
  • Excellent organizational, time management, and multitasking ability.
  • Proficiency in Microsoft Office (Word, Excel, Outlook); experience with LIMS or CRM systems is beneficial.
  • Friendly, professional demeanor with a problem-solving attitude
  • Ability to stay calm under pressure and adapt to changing priorities

Pay: $19.00 - $20.00 per hour
