Project Manager (Full-Time, Onsite)

MASS MoCA’s Buildings and Grounds Department is seeking an experienced Project Manager to oversee the planning, execution, and completion of capital improvement, renovation and maintenance projects within our historic campus. This is a highly varied and dynamic role that is responsible for overseeing construction and maintenance projects across a wide range of scales and delivery methods.

On a day-to-day level, the Project Manager will provide planning and oversight for projects performed by MASS MoCA’s in-house B&G Maintenance and Construction team. This includes project planning, scoping, budgeting, scheduling, coordination and quality control for projects serving internal stakeholders and performed within B&G’s annual operating budget.

The Project Manager will also be responsible for large-scale capital projects performed by outside contractors and vendors, ensuring such projects are planned, bid and executed within scope, schedule, and budget.

The B&G Project Manager will act as a liaison between MASS MoCA and outside contractors and vendors, representing the mission of the organization as well as the priorities and needs of its staff and patrons. Considerations related to safety, accessibility, code compliance, as well as long-term maintenance, sustainability and energy use, must inform decision-making for all projects. Clear and consistent communication with internal and external stakeholders is a key aspect of the role.

Duties and Responsibilities:

• Engage with museum leadership, curatorial staff, and external stakeholders to align project goals with institutional objectives.
  
• Develop and manage project scopes, budgets, timelines, and deliverables for facilities improvements, restorations, and maintenance projects.
  
• Coordinate project scope, schedules and activities with architects, engineers, contractors, vendors, and MASS MoCA staff to ensure project goals are clearly defined at the outset, and maintained throughout the project from initiation to completion
  
• Member of the Buildings and Grounds management team. Directly manages and supervises the B&G Maintenance and Construction Manager; supervises their day-to-day duties, and manages their employment, including hiring, terminations, performance management, evaluations, scheduling, coaching and mentoring
  
• Oversee scoping, planning, scheduling, and budget management for the Buildings and Grounds Maintenance and Construction team. In collaboration with the Maintenance and Construction Manager, create and maintain project schedules that balance discrete maintenance and seasonal tasks with planned projects
  
• Utilize MASS MoCA�s digital work order system to create, document, monitor, manage and close out work orders for projects.
  
• In collaboration with B&G management, work to identify, develop and implement practices and processes to improve the efficiency, consistency, and capacity of the B&G Maintenance and Construction team and the Buildings and Grounds team as a whole.
  
• Conduct regular inspections of projects to assess progress relative to schedule, overall work quality, and compliance with relevant standards and codes
  
• Ensure safe work practices are observed and maintained for all projects and processes, whether conducted by MASS MoCA staff or outside contractors. Observe OSHA and any other applicable regulations or standards.
  
• Review construction projects to ensure compliance with local, state and federal regulations.
  
• Engage with building inspectors, fire marshals, historic preservation officials, and other relevant officials as needed to review project scopes, conduct inspections, and address any compliance issues.
  
• Conduct project-related site assessments and feasibility studies for planned projects, identifying potential challenges related to building integrity, functionality, safety, historic preservation, budget, or other considerations.
  
• Collaborate with MASS MoCA staff and outside consultants to develop grant proposals, reporting, and manage other project-related funding requirements or processes
  
• Meet with campus stakeholders to develop project requests and project requirements. Assess, document, and communicate findings to stakeholders to establish and maintain expectations for project scope and outcome.
  
• Provide regular updates on project status, budget, and timelines to all relevant parties.
  
• Ensure all work complies with local, state, and federal preservation guidelines, including those from the National Register of Historic Places, if applicable.
  
• Collaborate with conservators and regulatory agencies to secure necessary permits and approvals for projects affecting historic structures.
  
• Solicit and evaluate bids from contractors and vendors, ensuring cost-effective solutions while maintaining high standards of workmanship.
  
• Supervise contractors and vendors on-site to ensure safety, quality, and adherence to project specifications.
  
• Identify potential risks associated with projects and work with stakeholders and other key project partners to mitigate risks
  
• Implement and monitor safety procedures in compliance with OSHA standards and museum policies.
  
• As a member of the Buildings and Grounds team, participate in �all-hands†activities, including but not limited to festivals and major on-site events.
  

Requirements:

Requirements and Qualifications:

• Bachelor�s degree in Construction Management, Architecture, Engineering, Historic Preservation, or a related field, preferred.
  
• Minimum of 5 years of experience in construction project management, with a focus on historic preservation or facilities management in cultural institutions.
  
• Proven track record of managing complex construction or restoration projects from inception to completion.
  
• Demonstrated experience in managing project budgets, bidding processes, contracts and schedules.
  
• Strong knowledge of building codes, preservation standards, and sustainability practices. Experience ensuring compliance with applicable local, state and federal building codes, safety requirements, and environmental regulations.
  
• Excellent communication, negotiation, and leadership skills.
  
• Prior supervisory or team leadership experience (managing or mentoring direct reports)
  
• Proficiency in design, engineering and/or project management software (e.g., MS Project, Procore, Bluebeam Revu, AutoCAD, or similar/related tools).
  
• Proficiency in typical office productivity softwares, including Excel, Word, Google office suite.
  
• PMP (Project Management Professional) or similar certification is preferred.
  
• This position may require extended hours, including occasional nights and weekends. The schedule will be determined by the Director of Facilities and Campus Planning.
  
• This position is based on site at MASS MoCA�s North Adams campus; regular in-person attendance is required.

MASS MoCA is a vibrant non-collecting art museum with approximately 300,000 square feet of exhibition space dedicated to visual art and projects by contemporary artists.
