Responsible for the accounting of commercial and residential projects. Analyze variances, spend control, budgeting, forecasting, and cash flow to ensure project invoices are issued to clients and payments are collected.


Main Responsibilities:


Project Cost Accounting:


  • Record, analyze, and report project costs (labor, materials, equipment, subcontracts).
  • Reconcile cost reports by project to ensure accuracy and timely updating.
  • Maintain cost and budget codes in accounting/project management software.


Invoicing and Accounts Receivable:


  • Prepare monthly advance invoices (in AIA format if applicable).
  • Review contract terms to ensure timely and compliant billing.
  • Monitor accounts receivable and follow up on outstanding payments.


Payments to Subcontractors and Suppliers:


  • Process invoices from subcontractors and suppliers.
  • Verify receipt of compliance documents (waivers, insurance) before releasing payments.
  • Control withholdings and releases according to contractual conditions.


Change Orders and Commitments:


  • Assist in the financial follow-up of change orders and budget revisions.
  • Coordinate with project managers to ensure accurate documentation of scope changes.


Reporting and Compliance:


  • Prepare monthly financial reports by project and projections.
  • Support in audits, insurance reports and other regulatory obligations.
  • Ensure compliance with established internal controls and procedures.


Collaboration:


  • Work closely with Project Managers, Estimators, and Operations to maintain financial clarity on active jobs.
  • Support the finance department in accounting reconciliations and monthly closings.


Requirements:


  • Bachelor's degree in Accounting, Finance or related career.
  • Minimum 3 years of experience in construction accounting, preferably in a subcontractor company.
  • Solid knowledge of construction invoicing (AIA format), costs per project, and WIP statuses.
  • Proficiency in accounting and construction management software (Sage 300 CRE, Viewpoint, QuickBooks Contractor or similar).
  • Excellent Excel handling and attention to detail.
  • Strong organizational and communication skills.
  • Ability to work under pressure and meet tight deadlines.


Desired Qualifications:


  • Knowledge of compliance requirements for subcontractors (certificates of insurance, waivers, prevailing wages).
  • Experience with payroll and certified project reports.
  • Bilingual in English and Spanish.
