About the Role:


The Practice Administrator serves as the primary leader of the clinic, responsible for overseeing all aspects of day-to-day operations while providing strategic leadership that aligns with ENT Specialty Partners’ (ESP) organizational goals. This role collaborates closely with HR, Operations, Finance, and Physician leadership to ensure exceptional patient care, engaged teams, operational efficiency, and regulatory compliance. The Practice Manager is a key culture carrier and business driver, championing growth, team development, and an outstanding patient experience.


What You’ll Do:


Practice Operations & Oversight:


  • Lead and manage the overall operations of the clinic, ensuring alignment with ESP�s service standards, performance goals, and operational best practices.
  • Oversee scheduling, patient flow, and resource optimization across clinical and administrative functions.
  • Establish clear accountability across roles to support operational excellence and high-quality care delivery.
  • Manage staff schedules, timesheets, and coordinate performance reviews.
  • Proactively identify operational challenges and lead initiatives that improve workflow, access, and efficiency.


Leadership & Strategic Execution:


  • Align clinic operations with ESP�s broader strategic priorities, ensuring effective execution of initiatives and sustainable performance improvement.
  • Serve as a key operational advisor, offering insight into clinic trends, capacity planning, and growth opportunities.
  • Support provider onboarding and integration of new services or technologies into clinic workflows.
  • Use operational and financial reporting to monitor clinic performance, forecast trends, and inform decision-making.


Team Development & Culture:


  • Foster a high-performing, accountable team culture grounded in collaboration, inclusion, and service excellence.
  • Lead efforts around staff development, coaching, and succession planning in partnership with HR and leadership teams.
  • Reinforce company policies and support consistent performance expectations across roles.
  • Partner with the ESP Recruitment Team and internal stakeholders to support the hiring process, including candidate interviews, selection, and onboarding coordination.
  • Support recognition and engagement activities that build a strong, unified culture.


Compliance & Risk Management:


  • Ensure adherence to regulatory standards such as HIPAA, OSHA, and internal operational policies.
  • Provide oversight for benefit verifications, authorizations, and documentation accuracy to minimize risk and support reimbursement.
  • Collaborate with internal stakeholders, including HR and Compliance, when needed for audits, training, or policy updates.


Patient Experience & Community Presence:


  • Serve as a visible leader and point of contact for escalated patient concerns or service recovery.
  • Monitor patient satisfaction and experience metrics, and lead targeted improvements based on feedback and data.
  • Partner with the Marketing & Communications team on local outreach, community events, and brand awareness.
  • Support and maintain strong referral and community relationships to enhance patient access and clinic reputation.


Administrative & Financial Management:


  • Provide oversight for practice financial performance, including budget alignment, revenue trends, collections, and financial goal setting.
  • Analyze collections, reimbursement trends, and payor mix to identify opportunities for improvement and growth.
  • Ensure efficient use of resources and support cost containment strategies.
  • Participate in operational reporting and contribute to strategic financial planning, and partner with leadership on revenue enhancement initiatives.
  • Manage facility-related needs, vendor relationships, and operational workflows.

Qualifications & Requirements:


  • Bachelor�s degree in business, healthcare administration, or related field required; master�s degree preferred.
  • 5+ years of progressive healthcare operations leadership experience, preferably in a specialty or multi-provider setting.
  • Demonstrated ability to lead teams, manage complex operations, and drive strategic initiatives.
  • Strong understanding of financial oversight, revenue cycle processes, and clinic performance metrics.
  • Excellent organizational, analytical, and decision-making skills with the ability to manage competing priorities.
  • Proficient in Microsoft Office, Teams, and practice management/EHR systems.
  • Experience collaborating with cross-functional teams including finance, marketing, and physician leadership.

Work Environment & Physical Expectations:


  • On-site, clinical office setting.
  • Monday-Friday schedule; occasional early mornings, evenings, or weekends may be required.
  • Ability to sit or stand for extended periods, move throughout the clinic, and perform light lifting.
  • Manual dexterity required for frequent use of computers and phones.
