Job Summary:


The People Services Operations Coordinator provides administrative support for day-to-day people services operational responsibilities, including employment changes, federal and state compliance regulations, record keeping, and file maintenance. The PS Operations Coordinator provides a high-touch concierge-level experience for all new hires and current teammates by monitoring and maintaining teammate (employee) data in the Caravel HCM (ADP).


Essential Functions:


  • Ensures all new hire forms/acknowledgements and the I9/E-Verify process is complete in adherence with Federal/State requirements.
  • Creates and maintains personnel files. Routinely files documents into personnel files in an accurate and neat manner. Completes routine audits of files as needed.
  • Provides exemplary customer service to new hires and current teammates, answering questions and responding to requests in a timely and thorough manner.
  • Responsible for daily monitoring, maintenance, and processing of time-off policies, timekeeping ADP access, and status change data to ensure accuracy of data submitted and processed.
  • Reviews and completes all ADP/Central Reach data entry for teammate status changes and notifies appropriate parties post completion.
  • Update and complete legal names changes following collection of appropriate documents and notifies appropriate parties post completion.
  • Create and use ADP reports for employee data entry audits for maintaining data accuracy.
  • Use established payroll related policies, procedures and regulations to complete tasks.
  • Notify multiple departments of completed teammate changes; include IT, payroll, authorization, and credentialing per defined process
  • Assists in resolution of People Services tickets assigned inside ticketing system and providing excellent customer service when answering questions and responding to teammates and manager requests.
  • Keeps knowledgeable of all ADP Workforce Now modules.
  • Collaborates with Payroll, Benefits, Credentialing, Accounting, and People Services teams for any HRIS or People Services related projects as required.
  • Supports in distribution of People Services metrics and reports, including dashboards, monthly turnover reports, and other metrics as requested.
  • Provides input as to possible process improvements within the People Services department, looking for efficiencies and enhancements to support Caravel mission and values.
  • Maintains strictest confidentiality; adheres to all HIPAA guidelines/regulations.
  • Complete all functions of People Services Coordinator in the timeline set by manager.


Compensation for the role will depend on a number of factors, including a candidate’s qualifications, skills, competencies and experience and may fall outside of the range shown. Qualifications:


Education:


  • HS Diploma or equivalent required.
  • Bachelor�s degree or equivalent experience preferred.


Experience:


  • One year of previous clerical/administrative experience is required.
  • One year of previous human resources related experience preferred.
  • Prior experience with HCMs, preferably ADP WorkforceNow preferred.

  • Strong keyboarding and computer skills to include MS Office (Outlook, Word, Excel, PowerPoint, Visio and Publisher).
