We’re growing quickly and looking for a Patient Coordinator who can elevate the patient experience through thoughtful communication, excellent service, and proactive relationship-building.


Role Overview:


As the Patient Coordinator, your role is to be the first voice and point of connection for new and returning patients. Whether they found us through marketing, word of mouth, or social media, you’ll serve as a trusted guide - helping them feel informed, excited, and confident about their care.


This role is ideal for someone who thrives on connection and momentum. You’ll lead potential patients through their first interactions with Look Lab, ensuring they’re scheduled appropriately, feel supported throughout the process, and understand the value of our expert treatments. From following up on interest to re-engaging past patients, your focus is to help fill our schedule with the right patients, at the right time - always with warmth, professionalism, and an eye for opportunity.


In addition to leading outbound communications and engagement, you’ll also handle all inbound inquiries - from phone calls to DMs - supporting seamless scheduling, rescheduling, and overall experience coordination.


Key Responsibilities


  • Conduct warm welcome calls to new leads and inquiries, helping them navigate their first experience with Look Lab
  • Educate patients on available treatments, promotions, and what to expect during their appointment
  • Manage scheduling for multiple providers and clinic locations with precision and efficiency
  • Respond promptly to incoming inquiries via phone, social media, campaigns, and web channels
  • Follow up on leads, reactivation lists, and marketing interest to keep appointment calendars full
  • Help patients feel confident and informed when choosing services and scheduling appointments
  • Create a warm, elevated experience that reflects Look Lab�s luxury brand and concierge-style care
  • Build rapport and instill confidence during every interaction
  • Ensure all necessary follow-ups are completed so patients are fully prepared for treatment
  • Use Slack, Gmail, CRMs, and scheduling platforms to keep communication organized and responsive
  • Support clinic and team goals through collaboration and attention to detail
  • Maintain a flexible schedule, including some evenings or weekends if needed


Requirements & Qualifications


  • 1+ years of sales experience, preferably in a client-facing or aesthetics/medical/wellness role.
  • Obsessed with results and metrics; you get excited by booking targets and conversion goals.
  • Strong phone presence - confident, warm, and persuasive.
  • Excellent written and verbal communication skills.
  • Highly organized, detail-oriented, and thrive under pressure.
  • Self-motivated and comfortable working with minimal supervision.
  • Familiarity with Slack, Gmail, CRMs, and booking platforms is a strong plus.
  • Passion for aesthetics, beauty, and helping people feel their best.
