Silver State Baking Company LLC is seeking a highly organized, resourceful, and versatile Procurement & Office Manager to serve as a utility player across sourcing, operations, and administrative functions. Must have a can do attitude.This role combines ingredient procurement with office management duties including bookkeeping, file organization, project tracking, and spreadsheet management. The ideal candidate is detail-oriented, proactive, and thrives in a fast-paced environment supporting a growing commercial bakery.


Key Responsibilities:


Procurement & Vendor Management


  • Source ingredients and packaging materials from multiple suppliers; secure competitive pricing and terms.
  • Maintain an active database of vendors, pricing, lead times, and key contacts.
  • Request and compare quotes from at least three manufacturers for every new ingredient.
  • Track and organize supplier documentation, including COAs, spec sheets, and allergen statements.


Office Management & Administrative Support


  • Manage day-to-day administrative functions including digital filing, supplies, vendor setup, and operational needs.
  • Maintain and update production files, costing sheets, internal tracking logs, and recipe documents.
  • Support bookkeeping duties including invoicing, PO tracking, and QuickBooks data entry or review (if applicable).
  • Coordinate with internal departments (R&D, QA, Production) to ensure accurate and timely information flow.


Project & Task Management


  • Assist in tracking client projects, deadlines, and R&D progress using spreadsheets or project management tools.
  • Help monitor and manage production-related costing and COGS updates.
  • Support leadership in organizing team meetings, taking notes, and following up on action items.


Data & Documentation


  • Create and maintain structured spreadsheets for ingredient pricing, costing breakdowns, and margin analysis.
  • Organize folders by client and product line for full traceability.
  • Ensure all files are audit-ready for certifications and inspections (e.g., SQF, FDA, kosher, non-GMO).


Qualifications:


  • 3+ years of experience in a procurement, office management, or operations support role (food manufacturing preferred)
  • Excellent organizational and multitasking skills
  • Proficiency in Excel/Google Sheets and document management systems
  • Familiarity with QuickBooks or other bookkeeping software (preferred)
  • Strong communication skills and ability to collaborate across departments
  • Comfortable working independently with a proactive, problem-solving mindset
  • Knowledge of food industry standards and documentation (a plus but not required)


Preferred Skills:


  • Experience sourcing food ingredients or packaging
  • Exposure to cost accounting or financial analysis
  • Familiarity with import/export or domestic freight logistics
  • Bilingual (Spanish or Mandarin) is a plus


Compensation:


  • �Compensation is $20+ with incentives and room to grow DOE (Depending on Experience)
  • Potential for bonuses based on cost savings, performance, and successful project execution
