General activities of the Office Assistant’s day-to-day include primarily acting as the office authority on all things staff related. This position supports the care team by recruiting and maintaining strong professional relationships with qualified and competent staff that will carry out plans and goals for each of our participants in a way that supports the Riverside Service Group vision of seeing the I/DD kids in our services happy, healthy, and thriving! This role is crucial to the implementation of that vision and the Office Assistant is an upper-level position that requires creative, strong leadership skills and creates a vital link between our office staff and the staff who work in our homes.
1. Attend and organize Job fairs to recruit new staff.
2. Onboard new employees, including collecting all required documents and certificates in a timely manner.
3. Create/manage employee profiles in SharePoint and Paylocity.
4. Provide superior & timely service to employee questions and requests and escalating as appropriate.
5. Work closely with team coordinators to verify timesheets and make corrections to submit hours to payroll.
6. Establishing a professional working relationship with applicants, visitors, and business professionals.
7. Establish and revise work methods and standards to improve operating efficiency.
8. Serve as an effective resource for company policy, utilizing good judgment, discretion, confidentiality, and professionalism to respond to payroll, PTO, and other employee issues.
9. Escalate employee issues and grievances to the director of the appropriate department as necessary.
10. Maintain office staff job results by coaching, counseling, and disciplining employees, planning, monitoring, and appraising job results.
11. Assist the Payroll Department with miscellaneous tasks as assigned.
12. Assist with ordering supplies and ensure appropriate levels are maintained in stock.
13. Keep the office running smoothly by answering phones, directing visitors that come to office, preparing the office to open in the morning, and creating a welcoming environment
14. Other duties and responsibilities specified by Administrator, Human Resources Director, or Program Manager.
1. Knowledge of audit standards and ensure they are being upheld.
2. Experience with Microsoft 365 Suite & Paylocity.
3. Excellent verbal, written and interpersonal communication skills, with the ability to work well under minimal supervision.
4. Detail oriented with consistent follow-up practices and customer focus.
5. Capable of multi-tasking, highly organized, and able to meet deadlines.
6. Exercise independent judgment within established systems and procedures.
7. Maintain confidentiality in all matters related to the workplace.
8. Analytical ability, competence in report writing.
9. Eighteen years or older.
10. High School graduate or equivalent.
11. Associates degree preferred.
