Summary: Responsibilities include overseeing HR programs and policies, staff recruiting, employee relations, staff training programs, regulatory compliance, and benefits administration for Park Avenue Dermatology, PA.


Duties and Responsibilities include the following. Other duties may be assigned.


  • Posts and manages job listings on Indeed (utilizing all tools available); completes initial candidate review and forwards qualified candidates to Supervisors/COO; manages new employee onboarding process from start to finish (includes correspondence leading up to first day of employment, setting up Network Access, assigning key fob/iPad, creating personnel file, Paychex registration, completing E-Verify process, etc.)
  • Oversees practice Group Benefits renewal process, evaluating changes to offered benefits and analyzing cost. Provide education and employee benefit support for new hires and during our Open Enrollment, making sure that all employees have enrolled before the deadline.
  • Coordinates quarterly meetings for new hires with Colonial Account Representative, ensuring that all new hires have an opportunity to enroll
  • Manage HR administration, in a high-quality and confidential manner
  • Maintains PAD Handbook in Mineral platform; presenting necessary changes to executive team and updating once approved
  • Maintain Supervisor Performance Evaluation schedule to make sure that employee evaluations are completed and submitted by the due date; provides list of employees approaching 90-days of employment to COO and Supervisor; assists Supervisors with evaluation process as needed
  • Participates in employee coaching and counseling; serves as witness to the meeting and documents the discussion; works to improve employee relationships and retention by regularly visiting all PAD locations; assigns training as needed, utilizing training catalog available in Paychex
  • Establishes programs that promote a healthy work environment and build practice morale, responsible for administration of Quarterly Employee Award program
  • Handles Workers� Compensation for practice by facilitating employee treatment and initiating insurance claim; organizes and files practice incident reports
  • Maintains accurate and up-to-date employee personnel and medical files, ensuring compliance with practice policies and legal requirements
  • Processes employee terminations (includes correspondence leading up to last day of employment including an exit interview, and making sure that all PAD property has been returned and Network Access has been turned off); monitors practice Unemployment activity via Reconnect website, provides required supporting documentation to Paychex when unemployment claim is filed by employee and follows-up on all disputes
  • Maintains Physician Organizational Dues spreadsheet
  • Understands Park Avenue Dermatology�s mission statement and demonstrates knowledge of operational policies and procedures of the organization
  • Periodically reviews H/R and Clinical Compliance Training Manuals to make sure information is current and up to date
  • Effectively communicate Human Resources updates, Compliance Training, and other pertinent information to staff at monthly All Hands staff meetings
  • Works with CFO to create annual Referring Provider List for Christmas Cards and preps Christmas Cards for mailing
  • Acts as back-up to CFO for Payroll Processing and 401K Plan Administration
  • Handles letters and written correspondence as directed by PAD Owner, COO, and CFO
  • Manages incoming/outgoing packages and mail (certified and regular mail)
  • Travels monthly to other Park Avenue Dermatology locations to develop a positive rapport with all staff.
  • Maintains PAD Birthday List and saves PDF on Company Drive (Y:); emails updated Birthday List to PAD Supervisors quarterly; sends monthly celebratory Birthday and Anniversary emails to staff
  • Other duties or special projects as assigned by PAD Owners, COO and CFO
  • Keeps work area and Human Resource office clean, tidy, and well organized; secures all confidential information in compliance with HIPAA
