Job Description Summary
The School of Arts and Sciences within the University of Pennsylvania is seeking a Financial Specialist to join the Finance and Administration team. Reporting to the Director of Fiscal Operations, the Financial Specialist will serve across varying academic departments and will play a pivotal role in managing travel and other transactions related to departmental activities. Their duties encompass a range of tasks aimed at ensuring accurate and timely reimbursement of expenses incurred by faculty, staff, and other stakeholders and providing support for other assigned departmental activities. Evaluating the effectiveness of reimbursement processes and identifying areas for improvement is a vital component of the role.
Job Description
The primary duties include, but are not limited to, the following:
Departmental Fiscal Management* Provide financial support for a set number of departments/ divisions. This could include purchasing, travel, expense management, and journal entries
Processing Reimbursement Requests* Submitting and reviewing reimbursement requests on behalf of Faculty and Staff
Post-Reimbursement Evaluation* Working closely with senior management in creating and conducting surveys, gathering feedback from stakeholders and running analysis
Providing Guidance and Support* Advising and training faculty, staff, and students on reimbursement procedures and best practices
Compliance and Reporting* Ensuring compliance with institutional and governmental financial regulations
Qualifications* An associate degree and 2 to 3 years of experience or equivalent combination of education and experience is required

Salary offers are made based on the candidate’s qualifications, experience, skills, and education as they directly relate to the requirements of the position, and in alignment with salary ranges based on external market data for the job’s level.
