About the Role:


We are seeking a

Finance & Grants Coordinator to support the financial operations of our nonprofit organization. This position focuses on grant accounting, third-party billing (including Medicaid and insurance), and revenue tracking. It is ideal for a detail-oriented, self-motivated professional who thrives in a collaborative, mission-driven environment.


You’ll work closely with the VP of Finance and program staff to ensure accurate financial data entry, grant documentation, billing, and payroll support. This is a key role in helping maintain the financial health and compliance of our organization.


Key Responsibilities:


  • Record and maintain accurate financial transactions in QuickBooks Online
  • Prepare and reconcile Medicaid, insurance, and private pay billing
  • Track and report on multiple grants, ensuring financial and compliance accuracy
  • Collect and review documentation from staff for grants and billing
  • Prepare deposits and reconcile bank and general ledger accounts
  • Provide backup support for payroll and time tracking system data entry
  • Assist in preparing monthly internal financial reports
  • Maintain well-organized digital and physical records for finance, billing, and grants
  • Support audit and grantor review preparation
  • Perform other finance-related administrative tasks as assigned


Qualifications:


  • Proficiency with QuickBooks Online and Microsoft Excel
  • Familiarity with grant accounting and third-party billing (preferred)
  • Strong attention to detail and time management
  • Able to work independently while collaborating effectively with cross-functional teams
  • Excellent organizational and communication skills
  • Basic understanding of nonprofit GAAP principles


Education & Experience:


  • Associate�s degree in Accounting, Finance, or related field; or
  • 2-3 years of experience in bookkeeping, grant administration, or nonprofit revenue accounting
  • Nonprofit experience is strongly preferred


Additional Requirements:


  • Valid Montana driver�s license and insurable driving record
  • Compliance with I-9 eligibility requirements
  • Must be able to lift up to 15 pounds occasionally and work in a typical office setting
