Individuals filling this role will be responsible fo the below essential job functions as well as working at the instruction, and under the direct supervision of, the Finance Director

â— Assisting with Payroll Processing
â— Filing Necessary Monthly, Quarterly, and Annual Reports
â— Scheduling Cemetery Work including Internments, Burials, Services, and Record Keeping
â— Assisting with Sewer, Water, and other Billing or Account Related work or Research, including but not limited to creating warrants and vouchers
â— Perform other duties related to finance or general village operations as directed by the Direct Supervisor or Municipal Manager
â— Manage personnel files and maintain confidentiality of personnel information
â— Become familiar with and assist staff in navigating the Employee Handbook and Various Union-Contracts

Basic Financial Record-Keeping:â—‹ Ability to accurately enter, maintain, and maintain financial data using standard office software (e.g., Microsoft Excel, accounting software like QuickBooks, or municipal finance systems like Egov).

Attention to Detail:â—‹ Ability to review financial documents, invoices, and reports for accuracy and identify discrepancies or errors.

Basic Mathematical Proficiency:â—‹ Ability to perform basic arithmetic calculations (e.g., addition, subtraction, percentages) for tasks like reconciling accounts or processing payments.

Computer Literacy:â—‹ Proficiency in using standard office software, including Microsoft Office Suite (Word, Excel, Outlook), email systems, and web-based applications for financial reporting or data management.

â— Minimum of 1-2 years of experience in an administrative, clerical, or financial role, preferably in a public sector or office environment (e.g., municipal government, accounting firm, or similar).
â— Familiarity with basic financial processes, such as accounts payable/receivable, budgeting, or reconciling financial statements, gained through work experience or relevant coursework.
â— High school diploma or equivalent (e.g., GED) required; some college coursework or an associate’s degree in accounting, finance, business administration, or a related field preferred but not mandatory.
â— Basic understanding of public sector finance procedures (e.g., handling payments, utility billing, or grant documentation) is a plus but not required, as on-the-job training may be provided.
