Role Overview:

We are seeking a highly organized, proactive, and versatile individual to serve as an Executive Personal Assistant & Office Administrator. You'll directly support the CEO in managing both personal and professional responsibilities, helping coordinate daily activities, family commitments, and business operations.


Responsibilities:


Administrative & Business Operations:


  • Manage CEO�s calendar, scheduling meetings, appointments, and business activities.
  • Assist with email management, ensuring prompt responses and follow-ups.
  • Organize documents, client files, and administrative records.
  • Manage CRM systems and client onboarding processes.


Reception & Client Support:


  • Serve as the first point of contact: greeting visitors, answering and directing calls professionally.
  • Provide exceptional client service, scheduling consultations and follow-up meetings.
  • Handle general inquiries, resolving client questions or directing them to appropriate team members.


Personal Assistant Duties:


  • Coordinate family calendars, scheduling children�s activities and appointments.
  • Arrange personal errands, including shopping, reservations, and travel.
  • Assist with household management tasks, liaising with service providers as needed.
  • Occasionally pick up children and perform errands as needed.


Real Estate Support:


  • Assist with property listings, scheduling showings, and client communications.
  • Organize documents related to real estate transactions and client management.
  • Support marketing efforts through social media and client outreach.


Sales & Marketing Support:


  • Support lead generation efforts, scheduling sales calls and managing follow-ups.
  • Assist in creating proposals, client presentations, and sales materials.
  • Manage social media marketing initiatives, including content creation and scheduling.
  • Create visually appealing graphics using Canva.


Requirements:


  • Prior administrative or executive assistant experience preferred.
  • Excellent organizational and multitasking skills.
  • Exceptional communication skills, both verbal and written.
  • Comfortable handling confidential information with discretion.
  • Strong proficiency with technology tools (CRM, calendar apps, email management).
  • Social media marketing and graphic design experience using Canva.
  • Valid driver's license with a clean driving record; personal vehicle required.
  • Experience in accounting, tax, or real estate is beneficial but not required.


Compensation:


  • Salary: $38,000 to $40,000 annually, depending on experience.
  • Opportunity for bonuses based on performance and growth.

Schedule:


  • Mon - Friday (9:00 am to 5 pm).
  • Some weekends may be required with advance notice.
