Job Summary:We are looking for a detail-oriented and organized Billing Clerk . The Billing Clerk will be responsible for ensuring accurate and timely billing for all warehouse operations, including inventory management, shipments, and logistics. The ideal candidate will have strong attention to detail, be comfortable working with both physical and digital documentation, and collaborate effectively with warehouse and accounting teams to ensure proper billing practices.


Key Responsibilities:


  • Generate and review invoices based on warehouse activities such as inventory movements, order shipments, and any additional fees like storage or handling charges.
  • Cross-check billing information with inventory records, shipments, and order receipts to ensure accuracy in billing.
  • Accurately enter and update billing information into the company�s ERP or accounting system.
  • Handle all returned mail that comes through the department.
  • Assist with collections as needed.
  • Collaborate effectively with the customer service and inside sales team.
  • Communicate with customers and vendors regarding billing inquiries, discrepancies, and any charges related to warehouse services.
  • Maintain accurate records of all billing-related documentation, including invoices, receipts, shipping orders, and payment confirmations.
  • Investigate and resolve any discrepancies in billing, working with the warehouse, inventory, and accounting teams to address issues promptly.
  • Ensure billing practices are compliant with company policies, accounting standards, and any relevant industry regulations.
  • Assist with the preparation of monthly, quarterly, and annual billing reports related to warehouse operations, including shipment volumes and any additional fees.
  • Work closely with warehouse managers and staff to ensure that billing data reflects actual operations and services provided.
  • Suggest and implement improvements to streamline billing processes and enhance operational efficiency.


Qualifications:


  • High school diploma or equivalent
  • Proven experience in billing, accounts receivable, or a similar role, ideally in a warehouse or logistics environment.
  • Strong understanding of warehouse operations, shipping logistics, and inventory management.
  • Proficiency in Google Docs and experience with accounting software or ERP systems (e.g., QuickBooks, SAP, Oracle).
  • Detail-oriented with strong organizational skills.
  • Strong communication skills, both verbal and written, to interact with customers, vendors, and internal teams.
  • Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
  • Problem-solving skills to handle billing discrepancies and resolve issues efficiently.


Physical Requirements:


  • Ability to sit or stand for extended periods.
  • Ability to work at a computer for long durations.
