The purpose of the Part-Time Accounting Clerk position is to support and assist the Finance Department including, but not limited to, Accounts Payable, Data Entry, Filing and other clerical duties as assigned.
Accounts Payable Activities
- Ascertain that all regular invoices and purchase order invoices processed for payment have been properly authorized and include supporting documentation.
- Assign vendor and general ledger numbers to invoices and enter data into computer system.
- Assign due dates for payment of invoices taking into account cash discounts, minimize the number of checks written, and maximize the period in which the company will have use of its cash funds without jeopardizing its credit rating.
- Process and balance accounts payable reports and retain appropriate documents and reports for filing.
- File invoices and credit card statements.
Purchasing Transaction Activities
- Confirm goods and services ordered are received from vendors and billed to contract terms. Follows up with warehouse supervisor on any discrepancies.
- Balance open invoices, assign general ledger and work order codes to invoices. Contacts vendors when discrepancies occur.
- Responsible to track Purchase Orders (PO)s for full receipt and follow up with incomplete or missing orders from vendors weekly.

- High school graduate or equivalent is required.
- One (1) to two (2) years professional-level experience in an office environment.
- Ability to work independently with a minimum amount of supervision.
- Effective teamwork skills to work in a cross-functional environment.
- Demonstrated proficiency in verbal and written communication to correspond with customers, community members, cross-functional teams, co-workers, and managers.
- Demonstrated experience/knowledge in Microsoft Office software programs.
